Acceptable Use Policy
Last updated: 17 July 2026. These rules protect users, shared workspaces and the BubblFlow service.
1. Scope
This Acceptable Use Policy applies to all BubblFlow accounts, canvases, projects, teams, uploads, links, comments, support messages, AI requests, exports and shared content. It forms part of the Terms of Use.
You must follow this policy both in private workspaces and when sharing or collaborating with others.
2. Lawful and authorised use
Use BubblFlow only for lawful purposes and only with information, systems and content you are authorised to use. You are responsible for complying with laws that apply to you, your organisation, your collaborators and the people whose information appears in your workspace.
3. Prohibited content
Do not create, upload, request, share or distribute content that:
- is illegal, facilitates crime, or encourages imminent violence or serious harm;
- sexually exploits or endangers a child, depicts child sexual abuse, or seeks sexual contact with a child;
- contains non-consensual intimate imagery, sexual exploitation or credible threats;
- promotes terrorism or violent extremist activity;
- harasses, stalks, threatens, doxxes or deliberately humiliates another person;
- expresses hateful abuse or incites discrimination or violence against protected groups;
- infringes copyright, trademark, privacy, confidentiality or other rights;
- contains personal or confidential information you have no lawful authority to process or disclose;
- impersonates another person or organisation, enables fraud, phishing or deceptive schemes;
- contains malware, malicious code, credential-stealing material or instructions intended to compromise systems;
- is spam or unsolicited bulk promotional content;
- otherwise creates a serious and unreasonable risk to people, property, rights or the service.
4. Prohibited conduct
You must not:
- attempt to gain unauthorised access to accounts, projects, teams, databases, servers or administration tools;
- probe, scan or test BubblFlow security without written permission;
- bypass authentication, permissions, plan limits, rate limits, upload limits or other safeguards;
- interfere with availability, overload the service, launch denial-of-service activity or distribute automated traffic that harms other users;
- scrape, crawl or extract data at scale without written permission;
- use bots or scripts to create accounts, send support requests, issue invitations or generate content abusively;
- resell or provide unauthorised access to BubblFlow or use another person’s account;
- remove or falsify ownership, attribution, security or service notices;
- help another person evade a suspension or enforcement action;
- use the service in a way that materially disrupts another user’s work or privacy.
5. AI-specific rules
When using AI features, you must not:
- request or use AI output for prohibited content or conduct listed above;
- submit passwords, payment-card details, private API keys or highly sensitive secrets;
- submit another person’s private or special-category information without authority and a lawful basis;
- present AI output as verified fact when accuracy matters;
- use AI output as the sole basis for legal, medical, financial, employment, education, housing, insurance, credit, policing or other high-impact decisions about a person;
- use AI output to impersonate, deceive, defraud, manipulate or unlawfully profile people.
6. Teams and shared workspaces
Respect the permissions, confidentiality and purpose of each shared workspace. Do not invite people without a genuine reason, expose content beyond the intended audience, or use collaboration features to monitor or pressure another person unlawfully.
Team owners and administrators should remove access promptly when it is no longer needed and should avoid placing unnecessary personal information in canvases or comments.
7. Enforcement
We may remove or restrict content, disable sharing, apply rate limits, suspend access, preserve relevant evidence or close an account where reasonably necessary to investigate or address a violation, security threat, legal request or risk of harm.
We consider context, seriousness, repetition, user history and risk. Immediate action may be taken where waiting could increase harm. Where appropriate, we will provide a reason and an opportunity to contact support.
8. Reporting concerns
Report suspected abuse, illegal content, account compromise or security concerns through BubblFlow support. Include the relevant account, project, canvas or reference information, but do not resend unlawful or highly sensitive content unless support asks for it through an appropriate channel.
If there is an immediate danger or emergency, contact the appropriate emergency service or law-enforcement authority. BubblFlow support is not an emergency service.
9. Changes
We may update this policy to address new features, abuse patterns or legal requirements. Material changes will be highlighted through the service, the What’s New page, email or another reasonable method.
